What each side is signing up to.

A summary of how we work, in the same language as the rest of this site. Your service agreement is the binding document; this page exists so nothing in it is a surprise.

What we commit to

  • A named Family Lead who replies within one working day, and a named colleague when they are away.
  • A written Independence Plan before any support starts, with goals, intensity, settings, timeline and review dates.
  • An exit criterion for every stage, agreed before that stage begins.
  • Session data in your file within the week, and a written review each term.
  • A written re-plan if two consecutive reviews show no movement, rather than an increase in hours.
  • Naming other providers in your plan where they are the better fit, including our competitors.
  • Practitioners cleared, documented and supervised before a first day.

What we ask of you

  • Tell us what you are seeing, including when it contradicts what we expected.
  • Let us talk to your child's school and clinicians, or tell us if you would rather we did not.
  • Give the home part of the plan a genuine try before we judge whether it works.
  • Tell us early if the cost is not sustainable, so we can plan around it rather than around a surprise.
  • Give reasonable notice for cancelled sessions, and expect the same courtesy from us.

What we do not do

  • Diagnose our own clients. Formal diagnosis stays with independent clinicians.
  • Provide medical care, prescribe, or advise on medication.
  • Provide physiotherapy, orthotics, counselling or family therapy.
  • Offer acute mental health crisis support.
  • Promise to cure, fix or resolve a condition. Nobody can, and we will not imply otherwise.
  • Guarantee a specific outcome or timeline. We project, we measure, and we tell you when we were wrong.

Fees and payment

A fixed fee for the assessment, quoted in writing before it starts. After that, one monthly fee for the stage you are in, covering practitioners, supervision, reporting, reviews and your Family Lead's time. You are not billed per practitioner, per report, per phone call or per email.

A change of stage changes the fee, and you know the new figure before the stage begins. Nothing changes mid-stage. We do not pay or accept referral fees in any direction.

Ending the arrangement

You can leave at the end of any month. No notice penalty, no exit fee. We export your complete Independence File free, to whoever you name, in a format the next provider can open.

We may end it too, and we will tell you why in writing with reasonable notice. The usual reasons are that your child's needs sit outside our competence, that another provider is genuinely better placed, or that the plan cannot be delivered safely. In every case we will name who we think you should go to next.

If something goes wrong

Tell your Family Lead first — most things are resolved there within a day. If that does not work, it goes to the clinical supervisor, and after that to the founder. Write to hello@specialminds.ae at any point and mark it as a complaint; we will acknowledge within two working days and respond substantively within ten.

Complaints, and what we did about them, are recorded in your file alongside everything else.

Everything here is general information, not clinical advice about your child. Nothing on this site creates a professional relationship, and no page should be relied on in place of an assessment. The fee figures shown as em-dashes are unpublished rather than free — they are quoted in writing before anything begins.

Your signed service agreement governs the relationship and takes precedence over this page. If the two ever appear to conflict, tell us — that is a drafting error on our side, and we will fix it rather than rely on it.
